Position Overview

The Office Assistant assigned to the Healthcare Unit Administrator�??s office at Menard Correctional Center is responsible for various clerical duties, including keyboarding memoranda and other documents, preparing reports, maintaining files containing confidential information, and answering phones. Menard Correctional Center is seeking a highly motivated and organized individual to serve in the role. We encourage all qualified applicants to apply.

Job Responsibilities

  • Keyboards memoranda to include, but not limited to: referrals to assignment committee; clearance notices for applicant interviews, representatives from suppliers of medical services, and repairmen; evaluations; and others as assigned.
  • Maintains present and past files, including but not limited to confidential supervisory files, reports, and individual in custody correspondence within the Health Care Unit Administrative Office.
  • Completes and keyboards individual in custody complaint report with findings and recommendations, verifying 100% of complaints and grievances to the Health Care Unit are reported.
  • Prepares copy work and distributes correspondence keyboarded by Office Coordinator, new and revised A.D.�??s and I.D.�??s, and general copy work.
  • Uses computer and the programs contained therein to gather data for the purpose of formulating reports, responding to internal and external queries, and to effectively communicate policy and procedural practice and changes to affected staff.
  • Compiles information including Employee Time Sheet and call-in slips for the Employee Attendance Review by the Health Care Unit Administrator.
  • Completes daily sign-in/out time sheets by adding codes, off days, etc. and submit for signature to the Health Care Unit Administrator.
  • Answers phone in Health Care Unit Administrative Office forwarding calls to appropriate department.
  • Files reports and forms into the individual in custody medical files in the medical record department.
  • Serves as back-up for the Office Associate in the Health Care Unit scheduling medical furloughs.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school.
  • Requires one (1) year of related office experience.
  • Requires the ability to keyboard accurately at 35 wpm.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department�??s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
